# Bonterra to monday.com Migration

Canonical: https://www.taskrhino.ca/en-us/data-migration/bonterra-to-monday/

> Move from Bonterra (EveryAction or Apricot) to monday.com: contacts, contributions and case records move, reports are rebuilt, and you see what cannot.

We move nonprofit data from Bonterra’s EveryAction (Fundraising & Engagement) or Apricot (case management) into monday.com: contacts, contributions, activist codes, form submissions and case records, with the links between them. You see what moves, what we rebuild and what cannot move before you commit.

## Why Nonprofits Move from Bonterra to monday.com

monday.com lets a nonprofit keep donors, volunteers, programs and grants on one platform its own staff can adapt: build those boards, link them, then automate the follow-up.

Our articles cover [why choose monday.com over Bonterra](https://www.taskrhino.ca/en-us/data-migration/monday-com-vs-bonterra/) and [Bonterra alternatives for nonprofits](https://www.taskrhino.ca/en-us/data-migration/bonterra-alternatives/). How to prepare, what the boards look like and how the move is checked are below.

## What Moves, What We Rebuild, What Cannot Move

EveryAction’s bulk export, the Changed Entity Export, covers its core objects. Apricot exports one form at a time, or the whole database as a SQL backup with its files.

## How the Migration Runs

Every step is agreed with you before the next one starts.

### Free assessment

We confirm which Bonterra products you use, look at your record counts, gift history, forms and attachments, and send a fixed quote with the list of what moves, what we rebuild and what cannot move.

### Data map

Contacts, donations, programs and cases each become a board, linked the way your team works. You approve the map.

### Test migration

We move a sample of contacts with their gifts, notes and records, and you check totals and history in monday.com.

### Full migration and rebuild

We run the exports with your administrator, load and link every record, and rebuild your reports and follow-up rules.

### Checks and handover

We compare record counts and gift totals, walk your staff through the new boards, and hand over the export files.

## Before You Move: What to List, Clean and Back Up

Most of a smooth move is decided before any data moves. With your team, list:

1. **Your data.** Donors and their gift history, volunteers, programs and grants, and for Apricot the forms and case records, with rough record counts.
2. **What staff use every day.** The reports, workflows and follow-up rules each team relies on, from the people who use them: what takes the most time, and what they would change.
3. **What funders and government ask for.** Compliance and quarterly reports, and the data each one needs, so the new boards keep it.
4. **What connects to Bonterra.** Email, accounting software such as QuickBooks, online forms and your payment provider.
5. **What moves and what is archived.** Old or inactive records can stay in an export file instead of on the new boards.

Then clean and back up:

- Remove duplicate records and fix fields that are empty or inconsistent; an open-source tool such as [OpenRefine](https://openrefine.org/) helps with large files.
- Export a full copy from Bonterra, store it securely, and keep it until every record has been checked in monday.com.
- Keep client data safe on the way: encrypted files, access only for the people doing the move, and the data-protection rules your agency follows (such as GDPR or HIPAA) carried over to the new set-up.

## How Your Bonterra Data Becomes monday.com Boards

Each kind of record becomes a board, linked to the others the way your team works. Typical boards for a nonprofit:

| Board | Columns | How the team uses it |
| --- | --- | --- |
| Donors | Status, contact details, communication preferences, next step | Linked to the Donations board; an automation can send a follow-up after a set time |
| Donations | Amount, date, campaign, one-off or recurring | Each gift linked to its donor; totals on a dashboard |
| Grants | Status (drafted, submitted, under review, approved), deadline, owner | A Kanban view shows where every application stands |
| Volunteers | Availability, skills, shifts, hours logged | Shifts on a calendar view, with automated reminders |
| Apricot forms | One board per form, its fields as columns | Forms linked to each other with Connect boards columns, rebuilt from record IDs |

monday.com runs a nonprofit program: eligible organizations get 10 free seats and 70% off additional seats. Our [monday.com customization services](https://www.taskrhino.ca/en-us/monday-com-customization/) build boards like these.

## Importing a File Into a monday.com Board

Small sets of records, such as a volunteer list, can come in through monday.com’s own import:

1. Open the board you want to import into.
2. Click the arrow next to the **New item** button and select **Import items**.
3. Choose your Excel or CSV file.
4. Map each column in your file to a board column, create a new column, or choose not to import it.
5. Review the mapping and start the import.

Before you import, make every column in the file match a column on the board, and write dates as YYYY-MM-DD. A file import creates items on one board: links between boards, gifts attached to each donor and notes with their original dates need monday.com’s API, which is how we move them.

## Checks, a Pilot Team and Training

After the load, the numbers are compared before anyone relies on the new boards:

| Check | In Bonterra | In monday.com |
| --- | --- | --- |
| Contact records | Count before export | The same count |
| Gifts | Total value before export | The same total |
| Reports your funders need | The last report run | Rebuilt, with the same figures |

Then:

- **Start with one team.** A pilot with one group, such as volunteer coordination, tries the daily work (follow-ups, shifts, grant tracking) and reports problems before everyone switches.
- **Train by role.** Administrators learn set-up and permissions, staff their daily boards, managers the dashboards and reports.
- **Keep reviewing.** Regular check-ins after go-live catch stale data, unused columns and automations that need adjusting.

Our [monday.com onboarding and training](https://www.taskrhino.ca/en-us/monday-com-onboarding-and-training/) covers the training.

## When to Stay on Bonterra

Bonterra’s products are built for nonprofits, and some needs are hard to replace. Stay, or move only part of your work, if:

- **You rely on its online giving, events and payment processing** and do not want a separate provider.
- **Compliance reporting for funders or government** depends on Bonterra’s built-in reports.
- **Your case management is regulated** and the controls you need are part of Apricot today.

## Frequently Asked Questions

### Which Bonterra products can you migrate from?

EveryAction (Fundraising & Engagement) and Apricot (case management). If you use another Bonterra product, tell us and we will check its export options in the assessment.

### Does our full gift history come over?

Yes. Contributions and recurring contributions are covered by EveryAction’s bulk export, and each gift is linked to its contact in monday.com.

### Will the links between our Apricot forms survive?

Apricot’s data archives leave the links out, so we rebuild them from record IDs and check them on the test migration.

### How much does it cost?

It depends on the products you use, record counts and attachments. The assessment is free and ends with a fixed quote.

### Should we clean our Bonterra data before the move?

Yes. Duplicates and empty or inconsistent fields fixed before the export do not move with the data. Old or inactive records can stay in the backup export instead of on the new boards.

### Is there a nonprofit discount on monday.com?

Yes. Through monday.com’s nonprofit program, eligible organizations get 10 free seats and 70% off additional seats.

### Can one team move first?

Yes. A pilot with one team, such as volunteer coordination, tries the daily work on the new boards and reports problems before the rest of the organization switches.
