Wrike Review 2026: Comprehensive Analysis & User Guide

A small wooden rhino studies a tall neat stack of green-tinted glass trays holding task cards through a brass loupe.

Wrike is a feature-rich project management platform designed for teams managing complex workflows, multiple projects, and detailed reporting needs. It offers Gantt charts, customizable dashboards, automation and AI tools, but there is a lot to learn, and per-user prices rise from $10 on Team to $25 on Business, with the top tiers priced by quote.

TaskRhino has implemented monday.com for 110+ teams, and Wrike comes up often when those teams compare tools (see our Wrike vs monday.com comparison). This review is built from Wrike’s own pricing page, plan comparison table and help center, and covers features, pricing, limitations, and whether Wrike is the right fit for your team in 2026.

What Wrike Does Best What It Struggles With
Gantt charts with all four dependency types and critical path Dense interface; Wrike recommends a consultant for every new team
Customizable dashboards, shareable with free viewers Request forms, time tracking and proofing start on Business
AI Essentials on every plan; AI agents from Business Business needs 5+ seats and annual billing
Request forms with conditional logic (Business+) SAML SSO and 2FA need quote-only Pinnacle

Bottom line: Wrike is built for teams with complex, process-driven work who need robust reporting and don’t mind investing time in training. If you need something intuitive out of the box, look elsewhere.

Best for: Marketing agencies, IT teams, large enterprises with established processes Not ideal for: Small teams under 10 people, teams needing simple task management, budget-conscious startups

Wrike’s Gantt charts are its strongest planning tool. You can drag and drop tasks to reschedule, link tasks with all four dependency types (finish-to-start, start-to-start, finish-to-finish and start-to-finish), track the critical path and float, and bulk reschedule entire timelines when deadlines shift. When you move a task with dependencies, all dependent tasks automatically adjust.

Limitation: The Gantt chart isn’t available on the Free plan, and baseline tracking (recording the original plan to measure variance) needs Business or higher.

Build dashboards from prebuilt templates or customizable widgets, including calendar and chart views, calculated custom fields and filters. Dashboards update in real time, and you can export reports, send PDFs and share KPIs with stakeholders outside your organization.

Where it shines: Teams that need executive-level visibility without giving leadership full platform access.

Limitation: The Team plan includes one dashboard per shared space (and one shared space), and dashboards can’t be deleted there; unlimited dashboards need Business.

Since January 2026, Wrike includes AI Essentials on every plan (more of them from Team) and AI Elite actions for Wrike Copilot and AI agents from the Business plan (3x on Pinnacle, 10x on Apex). No separate AI subscription is needed; extra AI Elite actions are sold as action packs.

  • AI agents (Business+): Run workflow steps on their own, such as triaging requests or updating tasks, from natural-language instructions
  • Wrike Copilot (Business+): Answers questions about your projects and summarizes work
  • AI Essentials (all plans): AI content and editing, comment summaries and mobile inbox prioritization, plus natural-language automation rules from Team

Wrike applies AI usage quotas (in effect since April 1, 2026), with packages of additional actions for purchase.

Wrike’s request forms (Business and up) turn submissions into new tasks or projects, support conditional logic, can create items from blueprints, and can optionally be opened to people without a Wrike account.

Limitation: Forms can only create new tasks. If you need external stakeholders (clients, vendors, contractors) to update existing tasks via a form, Wrike can’t do it. That matters when clients, vendors or contractors need to send status updates on work that already exists.

Workaround: BoardBridge — Form & Workflow Automation for monday.com was built specifically to solve this. Every item gets a unique form URL, and submissions write directly to existing items. If you’re using monday.com and hitting this limitation, book a free demo here.

Wrike’s time tracking, timesheets and effort allocation start on the Business plan; Free and Team have none.

Where time tracking sits:

  • Free and Team: no time tracking
  • Business: time tracking, timesheets, effort allocation
  • Pinnacle and Apex: budgeting with bill and cost rates and billable hours, plus the native QuickBooks integration for time entries

Better for: Billable hours tracking. Not ideal for: Detailed productivity monitoring or employee time management.

Wrike’s iOS and Android apps are on every plan and cover tasks, status updates, the inbox and dashboards. Setup work such as building dashboards, configuring automations and editing Gantt charts is best done in the desktop or web app.

If your team works remotely or on-site frequently, test the mobile app before committing.

Wrike connects with Google Workspace, Microsoft 365, MS Project, Excel and Slack from the Team plan, native Salesforce and Adobe Creative Cloud from Business, and Tableau, Power BI and QuickBooks from Pinnacle. Cloud storage (Google Docs, Dropbox, Box, OneDrive) and the open REST API work on every plan. Wrike Integrate (no-code automations across apps) and Wrike Sync (two-way sync with 22 systems, including Jira and GitHub) are custom-priced add-ons included in Apex.

What to check: two-way sync with tools like Jira needs the Wrike Sync add-on, so budget for it if your developers work outside Wrike.

Team $10/user/month 2-15 users Small teams needing Gantt + dashboards
Business $25/user/month 5-200 users Growing teams needing automation + reports

Hidden costs to know:

  • Storage: 2GB per account on Free, 2GB per user on Team, 5GB on Business, 15GB on Pinnacle and 50GB on Apex; extra storage is sold in 500GB or 1TB increments
  • Real-time reports start on Business; advanced reporting and BI, budgeting and job roles need Pinnacle
  • SSO and advanced permissions require a top-tier plan (Pinnacle or Apex)
  • Business and above are sold only as annual subscriptions, in groups of five seats for accounts up to 30 seats
  • Onboarding and training services are sold separately, and Premium Support is a paid add-on

Price comparison (USD, billed yearly):

  • vs. monday.com: Wrike Team ($10/user) costs less than monday.com Standard ($12/seat, 3-seat minimum). monday.com Standard includes 250 automation and 250 integration actions a month per account; Wrike Team includes 50 automation actions per seat
  • vs. Asana: Asana Starter ($10.99/user yearly, $13.49 monthly) costs about the same as Wrike Team and includes unlimited rules and free guests
  • vs. ClickUp: ClickUp’s current lineup starts at Core ($9/user yearly; the classic Unlimited plan is $7), while SAML SSO and 2FA enforcement in Wrike need Pinnacle

Wrike lists all prices in US dollars. monday.com shows Basic $13, Standard $17 and Pro $26 CAD per seat/month billed yearly to Canadian visitors.

Our take: Team suits groups of 2 to 15 that mainly need Gantt charts and dashboards. Business covers 5 to 200 users at $25; beyond 200 users, or for budgeting, job roles and advanced BI, Pinnacle and Apex are priced by quote.

Pros Cons
Advanced Gantt charts with auto-rescheduling Dense interface with a lot to learn
AI Essentials on every plan, AI agents from Business Request forms and time tracking start on Business
Customizable dashboards with prebuilt templates Team plan: 1 shared space and 1 dashboard per space
Native integrations (Slack, Microsoft 365, Salesforce, Adobe Creative Cloud) Two-way Jira and GitHub sync is a paid add-on
SOC 2 Type II and ISO 27001 certified Business needs 5+ seats, sold in groups of five
Reporting and resource management on Business+ Request forms can only create tasks, not update existing ones
Real-time collaboration and @mentions Business and above are billed annually only
Workflow automation from Team Automation actions capped per seat (50 Team, 200 Business)
Workload view for resource allocation 1-hour support response needs the Premium Support add-on
Proofing tools for creative teams No built-in invoicing (QuickBooks integration on Pinnacle+)
Templates library for common use cases 2GB storage per user on Team
Free viewers for clients and other departments Budgeting, job roles and advanced BI need Pinnacle

Marketing agencies managing multiple client campaigns Wrike’s project templates, proofing tools, and client dashboards make it easier to standardize processes across many simultaneous projects. Clients can follow progress as free viewers, and guest approvals (Business+) let them sign off without a paid seat.

IT and software development teams Two-way Jira and GitHub sync (Wrike Sync add-on), Gantt charts for sprint planning, and resource workload views help technical teams coordinate complex releases. The automation rules can mirror dev workflows (e.g., “When QA status = Passed, move to Staging and notify PM”).

Large enterprises with compliance requirements Pinnacle and Apex plans include audit logs, SSO, advanced permissions, and role-based access control. Wrike holds SOC 2 Type II, ISO 27001 and ISO 27018 certifications, and accounts registered in Europe are hosted in its EU data center.

Teams already using complex PM tools If you’re migrating from Microsoft Project, Smartsheet, or legacy enterprise tools, Wrike’s feature depth won’t feel like a downgrade. The learning curve exists, but the capabilities justify it.

Small teams under 10 people Wrike’s complexity is overkill for startups or small businesses with straightforward task management needs. You’ll pay for features you won’t use, and Wrike itself recommends working with a consultant during onboarding.

Teams needing plug-and-play simplicity If you want to sign up and start working within an hour, Wrike isn’t it. Wrike recommends a consultant for all new teams and insists that teams of 20+ use a guided deployment.

Budget-conscious organizations At $25/user/month (Business plan) for automation and reporting, costs add up fast. A 25-person team pays $7,500/year, against $3,297 on Asana Starter or $5,100 on ClickUp Business (USD, billed yearly).

Mobile-first or field teams If your team works primarily on phones or tablets (construction, field service, retail), test Wrike’s mobile apps with them before committing, since setup work is best done on the desktop.

Teams needing external stakeholder forms to update existing items Wrike’s request forms only create new tasks. If you need clients, vendors, or contractors to fill out a form that updates an existing task (common in event management, client onboarding, vendor tracking), you’ll need a workaround or a different tool. BoardBridge for monday.com solves this natively if you’re on that platform.

Consider a compliance team running 18-month regulatory programs with hundreds of interconnected tasks, where deadlines shift whenever a regulator changes a date.

Why Wrike fits: Gantt charts (from Team) link tasks with all four dependency types, so dependent tasks reschedule automatically when a date moves, and baseline tracking (from Business) records the original plan so variance shows up in dashboards. Executives can follow progress as free viewers.

What to check: SAML SSO, two-step verification and user audit reports need Pinnacle, which is quote-only.

Consider a digital agency that started in Trello with a handful of clients and now runs 25 or more, with no workload view and status reports assembled by hand.

Why Wrike fits: Business adds workload charts, request forms for client intake, proofing and guest approvals, and clients can follow shared dashboards as free viewers.

What to check: Business needs at least 5 seats, sold in groups of five and billed annually, and AI agents run on a starter pack of AI Elite actions.

Consider a 12-person nonprofit that runs events and donor campaigns and mainly needs task lists, shared calendars and forms that volunteers can use to update event details.

Why Wrike is a poor fit: the Free plan has no calendars, Team has no request forms, and Business needs a 5-seat minimum with annual billing. Wrike’s request forms also create new tasks or projects; they don’t let volunteers update an existing task.

What to consider instead: a simpler tool, or monday.com with BoardBridge if volunteers need to update existing items through a form.

Wrike’s interface is dense, with folders, spaces, custom item types and blueprints to learn. Wrike itself recommends that all new teams work with a consultant during onboarding and insists that teams of 20+ use a guided deployment.

Mitigation: Plan for structured onboarding. Wrike offers trainings and certification, and Professional Services packages for guided deployment.

The iOS and Android apps work for task updates, the inbox and dashboards, but building dashboards, configuring automations and editing Gantt charts are better done on the desktop or web app. If much of your team works mobile-first, test the app extensively before committing.

The Free plan caps at 2GB for the whole account, Team gives 2GB per user and Business 5GB per user. If you’re storing design files, videos, or large datasets, you may need to upgrade, buy extra storage (sold in 500GB or 1TB increments), or link Google Drive, Dropbox, Box or OneDrive, which connect on every plan.

Wrike’s forms create new tasks or projects; they can’t update existing ones. This is a dealbreaker for:

  • Event teams collecting vendor updates
  • Client onboarding teams tracking multi-step approvals
  • Field service teams updating job statuses
  • Any workflow where external stakeholders need to write to an existing record

Workaround for monday.com users: BoardBridge solves this with unique form URLs per item. See how it works →

Time tracking and timesheets start on Business, and the native QuickBooks integration for time entries needs Pinnacle. Teams that want automatic time capture can pair Wrike with a dedicated time tracker.

Every account gets the Help Center, the community and a 24/7 AI chatbot; paid accounts add live chat in the Help Center 24/5. In-app live chat, phone support and a guaranteed 1-hour first response (including weekends) come only with the Premium Support add-on, and a designated support team with Premium Support Plus.

The Team plan stops at 15 users, one shared space (plus a personal space) and one dashboard per shared space, with no request forms, time tracking or custom item types. Growing teams usually hit these before they need Pinnacle.

Wrike Business plans and above are only available as annual subscriptions, and seats are sold in groups: groups of five up to 30 seats, groups of 10 from 30 to 100 seats, and groups of 25 above 100 seats. A team of 6 on Business pays for 10 seats.

Starting prices are the lowest paid plan, billed yearly, in USD. For deeper looks, see our full list of Wrike alternatives and our monday.com review, Asana review and ClickUp review.

Tool Starting Price (USD) Best For Key Advantage Over Wrike
monday.com $9/seat/month (Basic; 3-seat minimum) Visual thinkers, flexible workflows Visual boards; guests, timeline and automations on Standard
Asana $10.99/user/month (Starter) Task-focused teams, simple projects Unlimited rules and free guests from Starter

Choose Wrike if:

  • You need SAML SSO, audit reports and IP controls (Pinnacle and up)
  • Gantt chart depth and dependency management are critical
  • You’re managing 20+ simultaneous projects with shared resources
  • Custom dashboards for executives and clients are a priority
  • You want AI agents included in the plan price (Business and up, within the included AI Elite actions)

  • You need flexibility to build workflows without technical knowledge
  • You want timeline views, automations and guest access on the Standard plan ($12)
  • You want external stakeholders to update existing items via forms (with BoardBridge)

Choose Asana if:

  • Simplicity and speed matter more than feature depth
  • You’re a task-focused team (vs. project-focused)
  • Clean UI and fast onboarding are top priorities

Choose ClickUp if:

  • Budget is tight and you want maximum features per dollar
  • You need built-in docs, whiteboards, and time tracking in one tool
  • Customization is more important than polish

6 questions

What are the minimum seat requirements and group purchasing rules for Wrike’s Business plan, and how do they impact small teams?

Wrike’s Business plan is for 5 to 200 users at $25 per user/month (USD), and Business plans and above are sold only as annual subscriptions. Seats are sold in groups: groups of five for accounts up to 30 seats, groups of 10 from 30 to 100 seats, and groups of 25 above 100 seats. The smallest Business purchase is therefore 5 seats, $125 a month billed yearly. Teams of 2 to 15 that don’t need request forms, time tracking or AI agents can buy the Team plan ($10) one license at a time.

How does Wrike’s 2026 pricing update affect existing Business and Pinnacle plan users?

Wrike’s current plans (Free, Team, Business, Pinnacle and Apex) became available on January 20, 2026, and the prices on its pricing page apply only to new purchases made on or after January 21, 2026; they don’t apply to earlier purchases. Business is $25 per user/month billed yearly, while Pinnacle and Apex are quote-only. Wrike also reserves the right to change packaging and pricing at any time, so existing customers should confirm renewal terms with their Wrike representative.

In Wrike’s Team vs Business plans, which automation and resource management features require upgrading, and what are the monthly action limits?

Team ($10 per user/month, 2 to 15 users) includes Gantt charts, calendars, custom fields and workflows, one dashboard per shared space, 2GB of storage per user and 50 automation actions per seat a month. Business ($25, 5 to 200 users) adds request forms, time tracking and timesheets, workload charts and the resources view, proofing and approvals, unlimited dashboards and spaces, 5GB per user and 200 automation actions per seat, plus a starter pack of AI Elite actions for AI agents. Pinnacle raises automation to 1,500 actions per seat and adds budgeting, job roles, bookings and advanced reporting and BI; Apex goes to 3,000.

Can Wrike Pinnacle or Apex plans accommodate custom encryption like BYOK, and what security features differentiate them from Business?

Yes, through Wrike Lock, a custom-priced add-on that lets you manage your own encryption keys; it is not included even in Apex. Pinnacle and Apex add the security controls Business lacks: SAML 2.0 single sign-on, two-step verification, user audit reports, password policies, IP whitelisting, advanced user access controls and locked spaces. Storage is 15GB per user on Pinnacle and 50GB on Apex, against 5GB on Business.

How does Wrike’s per-user pricing scale for accounts over 100 seats, and what integrations are exclusive to higher tiers?

Above 100 seats, Wrike sells subscriptions in groups of 25 (groups of 10 from 30 to 100 seats). Business stays at $25 per user/month up to 200 users; Pinnacle and Apex are priced by quote. By tier: cloud storage (Google Docs, Dropbox, Box, OneDrive) works on every plan; Slack, Microsoft 365 and MS Project from Team; native Salesforce and Adobe Creative Cloud from Business; Tableau, Power BI and QuickBooks from Pinnacle. Wrike Sync (two-way sync with 22 systems, including Jira and GitHub) and Wrike Integrate are add-ons included in Apex. A 14-day free trial is available.

What storage limits and overage policies apply across Wrike plans, and when does upgrading for capacity become necessary?

Free accounts get 2GB for the whole account; Team gives 2GB per user, Business 5GB, Pinnacle 15GB and Apex 50GB per user. Extra storage is sold in 500GB or 1TB increments for a fee. Business and above also include monthly video processing (0.5GB per user on Business, 1GB on Pinnacle, 2GB on Apex). File-heavy teams such as creative agencies should estimate storage per user before choosing between Team and Business, or link Google Drive, Dropbox, Box or OneDrive, which connect on every plan.
