Why monday.com WorkForms Breaks at Scale

monday.com WorkForms works well for a handful of forms. At scale — hundreds of forms and thousands of submissions — it runs into limits that aren’t obvious on day one: every submission becomes an item on a board capped at 10,000 items, follow-up emails use monthly automation actions, and there’s no documented backup, version history or bulk repair for forms.
BoardBridge — Form & Workflow Automation for monday.com doesn’t run on WorkForms. Its forms can update existing items instead of adding new ones, prevent duplicates, and send emails without using monday.com automation actions. Book a free demo to see how it works.
Where WorkForms Hits Its Limits at Scale
Limit 1: Every Submission Becomes an Item
Each WorkForm submission creates a new item on the form’s board, and monday.com limits boards to 10,000 items, or 100,000 on Enterprise (monday.com Help Center). At 300 submissions a month, a form fills a non-Enterprise board in under three years; a busier form fills it sooner. Repeat submissions from the same person add more items rather than updating the first one.
Limit 2: Follow-Up Automations Use Monthly Actions
Confirmation emails, notifications and routing that run on each submission use automation actions: 250 a month on Standard, 25,000 on Pro and 250,000 on Enterprise (monday.com Help Center). On Standard, 250 submissions that each trigger one email use the whole month’s quota. Here’s how form submissions use the automation quota.
Limit 3: Public Forms Can Be Blocked
monday.com says its automated security systems may block your public form or your account if suspicious or non-compliant activity is detected (monday.com Help Center). Plan a fallback way to collect responses for forms you can’t afford to lose.
Limit 4: Edits Are Capped
Viewers and external users can edit a submitted response up to 10 times (monday.com Help Center). For forms people update again and again, that cap arrives quickly; see our edit limit workaround.

How BoardBridge Handles Scale
BoardBridge forms don’t run on WorkForms; they write to your boards through monday.com’s API. A WorkForms-only bug doesn’t reach them, but they still depend on monday.com’s API. Here’s what changes at scale:
| At scale | monday.com WorkForms | BoardBridge |
|---|---|---|
| Each submission | Creates a new item | Can update the existing item through a unique URL per item |
| Repeat submissions | A new item each time | Unlimited re-submissions to the same item, with duplicate prevention |
| Emails per submission | Use monthly automation actions (250 on Standard) | No automation-action quota for its emails |
| Edits after submitting | Up to 10 for viewers and external users | Unlimited re-submissions |
| API use | Native | Counts toward the daily API call limit: 200 on Free, 1,000 on Basic and Standard, 10,000 on Pro, 25,000 on Enterprise (monday.com developer docs) |

Example: Event Management at Scale
Take a company that runs 200+ events per year, each with 3 forms: Show Form (48 questions), Teebox Form (37 questions), Production Form (31 questions). Total: 600+ active forms at any given time, plus historical forms from past events.
- Items: if each event draws 50 submissions across its 3 forms, that’s 10,000 new items a year — a non-Enterprise board’s full limit.
- Automation actions: one confirmation email per submission is 10,000 actions a year. Standard allows 250 a month (3,000 a year); Pro’s 25,000 a month covers it.
- With update forms: if each event has one item that its 3 forms update, the board grows by 200 items a year instead.
No Form Backup or Restore in monday.com
monday.com’s WorkForms docs don’t describe a version history, backup or restore feature for forms. If a form corrupts or you accidentally delete it, plan on rebuilding it from scratch.
If many forms break at once, each has to be fixed individually: monday.com documents no bulk operation to reset forms to a previous state.
Other Options
SuperForm (10,222+ installs (Spot-nik), $35–$520/mo (USD)) is a separate app from native WorkForms, so a WorkForms bug doesn’t automatically carry over to it. Fillout (free up to 1,000 responses/mo, per Fillout) runs on its own platform and can update existing monday.com items (Fillout). Frequently Asked Questions
Can I migrate my existing WorkForms to BoardBridge?
No automatic migration. You’d rebuild your forms in BoardBridge, mapping fields to the same monday.com columns, and replicate the structure (sections, fields, conditional logic) manually. For teams with 50+ forms, this is labor-intensive, but it’s a one-time job.
What if BoardBridge has a bug?
BoardBridge bugs affect only BoardBridge forms — not monday.com’s native WorkForms or any other tool you’re using. If one occurs, you can fall back to a WorkForm temporarily while it’s fixed. Because BoardBridge and WorkForms are separate, a bug in one doesn’t affect the other.
Does using BoardBridge mean I’m dependent on TaskRhino?
Yes, in the sense that if TaskRhino shuts down BoardBridge, your forms would stop working. Your monday.com board data is unaffected (it lives in monday.com), and you could move back to WorkForms or another tool, though forms would need rebuilding. TaskRhino is a monday.com certified partner with 110+ client implementations. For critical workflows, consider keeping a parallel WorkForm as a backup.
When monday.com WorkForms Is Enough
If you have a small number of forms, low submission volume, and simple workflows, you may never reach these limits. For basic forms that create new items, WorkForms may be sufficient. Check what your plan includes in monday.com form features by plan.
Don’t switch to BoardBridge just for scale if:
- Your boards stay well under 10,000 items
- You don’t need features monday.com lacks (update existing items, AND/OR conditional logic, multi-page forms on Standard)
- Your follow-up automations fit your plan’s monthly actions
The switch is most valuable for:
- Teams with 50+ forms
- High-volume forms that add thousands of items a year
- Mission-critical forms where downtime costs real money
- Teams that also need BoardBridge’s other capabilities, such as updating existing items
