monday.com Auto-Duplicate Multiple Template Boards

A small wooden rhino turns the crank of a tiny brass printing press that lays out three identical small tile boards in a neat stack.

When a deal closes in your monday.com CRM, what happens next? If you’re like most teams, you’re clicking through the same manual workflow you’ve repeated hundreds of times: duplicate Board 1, rename it, duplicate Board 2, rename it, create a folder, move everything in, open each board, start filling in client data…

By the time you’re done, 20 minutes have passed. And you haven’t even started the actual work yet.

This is the board duplication bottleneck that slows down agencies, consulting firms, event companies, and anyone running client projects at scale. monday.com has templates, and its workflow builder can now create boards from them — but not a whole, organized project folder in one go.

Here’s what teams actually need when a CRM deal moves to “Won”:

  • One trigger → entire project workspace created automatically
  • All template boards (5, 10, or however many you use) duplicated at once
  • Organized into a folder named after the client or project
  • Each board renamed with the project name (e.g., “Acme Corp – Production”, “Acme Corp – Travel”)
  • Data pre-filled from the CRM deal (client name, date, location, contact info)
  • Ready to work — no manual setup, no clicking through multiple boards

What monday.com actually offers:

On plans that include workflows (Standard and above; Pro and above in monday CRM), the Workflow Builder includes a “Create board from template” action. (monday.com Help Center) But it has real limitations:

  1. One block per board — a workflow can chain several Create board, Duplicate board or Create from template blocks (up to 200 blocks), but if your project needs 9 boards, you set up and maintain 9 board steps
  2. No folder creation — boards are created loose in the workspace, not organized into project folders (monday.com Help Center)
  3. Data transfer takes extra steps — CRM deal data only reaches the new boards through added Get item data, Create item or Update item steps
  4. Manual reorganization — after boards are created, you’re back to manual work: create folder, rename boards, move them in
  5. Not all automations carry over — custom automations with Gmail, Outlook or Slack blocks, and Connect Boards and Mirror settings, must be redone (monday.com Help Center)

At scale (50+ projects per year), this becomes unsustainable.

Users have long asked for board creation from templates and for folder organization in automations. The workflow builder has since added Create from template and Duplicate board blocks, but folder creation is still not documented as a workflow step.

There are two practical routes, and most teams combine them.

On the deal status change to “Won”, add one Duplicate board or Create from template block per template board, then Get item data and Create item or Update item steps to write the client name, event date, venue and contact email into the Overview board. Active workflows are capped by plan (3 on Standard, 20 on Pro, 250 on Enterprise), and the boards land without a project folder.

For the folder, consistent names and anything a workflow can’t do, a small integration on the monday.com API fills the gap. A typical run:

  1. Idempotency check — confirm a folder with this project name doesn’t already exist, so a status toggled twice creates one project, not two
  2. Folder creation — create_folder with the deal name, for example “Acme Corp – Annual Event”
  3. Board duplication — duplicate_board for each template, with duplicate_board_with_structure, the new board_name (“Acme Corp – Overview”) and the new folder_id
  4. CRM data — read the CRM item and write each value in its column format (dates as ISO strings, status as {label: "text"}), mapping status by label text rather than by index
  5. Roster — if needed, create items on the Confirmations boards from a master roster board
  6. Webhooks — register them on the new boards with create_webhook

Build in retries with exponential backoff and log each failed call (board, call, error), so a slow API response doesn’t leave a half-built project. Copying automation rules with new board IDs isn’t part of either route; see the limitations below.

Before:

  • CRM deal closes → manually duplicate 9 boards one-by-one
  • Create folder, rename each board, move them all in
  • Open the Overview board → manually populate CRM data (client name, date, venue)
  • Open Band Confirmations → manually add 12 band members from the master roster
  • Open Team Confirmations → manually add 8 team members
  • Set up the Gmail and Outlook automations again (they don’t carry over to duplicates)

After (workflow + custom integration):

  • CRM deal closes → the project folder and its 9 boards appear, named for the event
  • Client data pre-filled on the Overview board
  • 12 band members and 8 team members loaded onto the Confirmations boards
  • Webhooks registered on every new board
  • Integration automations still rebuilt by hand, so keep them off the templates where you can

Once the boards exist, BoardBridge fits in at the next step: its forms collect venue and contact details straight into the project items (updating existing items rather than creating duplicates), and its button-triggered emails send vendor and client messages.

If you’re running 5 projects a year, manual board setup is annoying but tolerable. At 50+ projects, it’s a scalability wall.

Consistency: Every project starts with the exact same structure. No risk of forgetting a board, misnaming something, or skipping a step.

Speed: Project setup starts the moment the deal closes.

Error reduction: No manual data entry means no typos, no copy-paste errors, no “oops, I filled in the wrong client name.”

Team onboarding: New team members don’t need to learn the 15-step board setup ritual. The system does it.

Some native monday.com automations don’t carry over. Automations that are turned on are duplicated, but custom automations with integration blocks (Gmail, Outlook, Slack) must be recreated, and Connect Boards and Mirror settings aren’t carried over (monday.com Help Center). Cross-board automations keep their board IDs, so the copies still point to the original template boards.

Neither route copies automation rules with new board IDs, so plan to rebuild cross-board and integration automations on each project, or keep that logic in the custom integration. Our guide to why custom automations don’t carry over has the detail.

Column types matter. Mirror and Formula columns are computed, so nothing can write to them; relational columns (Connect Boards, Dependencies) need item IDs from the new boards, not values copied from the CRM.

Template boards must exist. If you delete a template board, the workflow or integration that duplicates it fails. For the folder-plus-boards version of this setup, see auto-creating a project folder from a CRM trigger.

6 questions

How can I automate duplicating multiple template boards in monday.com when a deal closes in CRM without manual clicks?

monday.com’s native board duplication via ‘More actions’ > ‘Duplicate board’ requires manual steps for each board, copying structure, items, or updates but not handling multi-board sequences or renaming/moving into folders automatically. A monday.com workflow can chain Duplicate board or Create from template blocks from the deal status change; creating a folder and moving the boards into it needs a custom integration on the API.

In monday.com, does duplicating a template board copy automations, and how to prevent them from firing on duplicated items?

When duplicating a board with ‘Structure, items & updates’, automations are copied, but they may trigger on existing items in the duplicate, causing unwanted notifications. To avoid this, duplicate ‘Structure only’ first, then manually recreate items, or turn the automations off on the template and switch them on in the copy.

What’s the best way to duplicate and link items across multiple boards from CRM templates in monday.com?

Native duplication creates independent copies, requiring manual item copying, renaming, and moving between boards, which is inefficient for multi-board workflows. Mirror columns or apps like Same Item Multiple Boards can sync data post-duplication, but initial setup remains manual. A custom integration can add the links after duplication by writing the new item IDs into Connect Boards columns.

How to create a sandbox duplicate of multiple production boards in monday.com for testing automations?

Use ‘Duplicate board’ with ‘Structure, items & updates’ for each board, then adjust permissions to private, but automations may fire unexpectedly on duplicates. Best practice is to duplicate one-by-one into a test folder and disable automations manually before testing.

Can monday.com automations trigger board duplication and folder organization for new client projects?

monday.com’s workflow builder has Duplicate board and Create from template blocks and can chain several of them from one trigger, but its documentation describes no step that creates a folder and files the new boards in it. For that, use the API: create_folder creates the folder, and duplicate_board accepts a folder_id and a new board name.

How to duplicate multiple monday.com boards while preserving column permissions and views across templates?

Board duplication copies column permissions, and ownership of the new board goes to the person who duplicates it. For multiple boards, repeat manually and verify settings each time, risking inconsistencies.
