monday.com Button Click Email Automation

You need a button that sends an email to a client with three form links, CC’s your production team, updates two status columns, and logs the send date.
In monday.com, your button runs one custom automation. That automation can take several actions, so one click can send the email, update both statuses and set the date (monday.com Help Center).
The limits are in the email itself:
- The standard Gmail/Outlook email action has no CC or BCC field
- Classic recipes send plain text; HTML needs the New Automation Builder or workflow email blocks
- A different template per item takes If/Else branches in the workflow builder
And the email? No CC in the standard action, and formatting and conditional content need the newer builders.
Button Column Emails Have Limitations
Here’s what teams need from button-triggered emails:
- One button click → send email + CC team + update status + log timestamp
- Email with CC recipients — client gets the email, team gets CC’d
- Multiple column values in email body — 20+ fields formatted in the message
- Conditional email content — different template based on column values
- File attachments — send PDFs or forms with the email
- Button label customization — “Send Travel Forms” not “Click Me”
What monday.com offers:
Button column capabilities:
- Run one custom automation, which can include several actions
- Send email through Gmail or Outlook (no CC or BCC in the standard action)
- Change the button text and colour in the Button settings
- HTML email formatting only in the New Automation Builder and workflow email blocks (monday.com Help Center)
Missing:
- No CC or BCC in the standard Gmail/Outlook email action (monday service’s workflow Send new email block has them, on Pro and above)
- No rich text/HTML in classic email recipes
- No conditional email templates in a single classic recipe (the workflow builder can branch with If/Else)
- Button text is customizable in Button settings; changing it via API isn’t documented
- Formula columns: monday.com suggests copying a formula result into a regular column for automations (monday.com Help Center)
- The docs don’t say whether the email can come from the mailbox of whoever clicked; the action uses a connected Gmail or Outlook account (see sender name and reply-to)

How BoardBridge Solves This
BoardBridge — Form & Workflow Automation for monday.com — sends emails from a button on the item.
1. Email with CC Groups
BoardBridge email configuration:
- To: Client email (from “Contact Email” column)
- CC: Production Team (a named CC group: 5 email addresses)
- Subject: “Your Event Forms — {Event Name}”
- Body: Rich text HTML with column values merged in
Native monday.com: No CC or BCC in the standard Gmail/Outlook email action; multiple To recipients only. (monday service’s workflow Send new email block, Pro and above, has CC and BCC.) Our guide to CC and BCC in monday.com email automations compares every route.
2. Conditional CC Based on Column Values
Advanced scenario: CC different people depending on item data.
BoardBridge conditional CC rules:
- If “Event Type” equals “Wedding” → add wedding coordinator to CC
- If “Event Type” contains “Festival” → add logistics manager to CC
- If “VIP Client” equals “Yes” → add account director to CC
All CC recipients are added based on the item’s column values. See conditional CC recipients.
Native monday.com: Not possible in the standard email action.
3. Rich Text HTML Emails
BoardBridge email body:
Hi {Client Name},
Here are the forms for your event on {Event Date}:
Show Form: {Show Form link}
Teebox Form: {Teebox Form link}
Production Form: {Production Form link}
Please complete them by {Due Date}.
Best regards, The Team
Rendered with:
- Bold headings
- Clickable form links
- Dynamic column values
- Professional formatting
Native monday.com: Plain text in classic recipes; HTML formatting in the New Automation Builder and workflow email blocks.
4. A Custom Sender Name
BoardBridge emails can carry a custom sender name, so the client sees your team rather than whoever set up the automation.
Native monday.com: The email comes from the connected Gmail or Outlook account.

Example: Send Show Form Button
Event Overview Board:
- Event Name: “Acme Corp Annual Event”
- Client Email: sarah@acmecorp.com
- Event Date: March 15, 2026
- Event Type: “Corporate Event” (Dropdown)
Button: “Send Show Form”
When clicked, BoardBridge sends:
- To: sarah@acmecorp.com
- CC: production@taskrhino.com, logistics@taskrhino.com, coordinator@taskrhino.com
- Subject: “Your Event Forms — Acme Corp Annual Event”
- Body: Rich text HTML with the event name, date and venue, the Show Form link (unique to this event), instructions and team contact info
Form Links in Emails
BoardBridge emails can include unique form links per item. Each link is specific to the event item, so when the client opens it, the form knows which monday.com item to update.
Why this matters: Forms update existing items, not create new ones. The email links are pre-personalized. See sending a form link from a button.
Tracking Button Emails
Native monday.com: Each automation has a Run history (the item acted on and who triggered it) and an Analytics tab, and the board’s Automation center has a Run history tab with trigger, trigger user and outcome (monday.com Help Center).

Frequently Asked Questions
How can I trigger multiple actions like sending an email, updating status, and logging a date from a single monday.com button click?
A monday.com button runs one custom automation, and that automation can include several actions, so sending an email, updating a status and setting a date can all happen from one click. External tools like Make.com or Zapier are only needed for steps monday.com can’t do natively, such as CC/BCC in the standard email action. BoardBridge adds CC/BCC to button-triggered emails.
What’s the best workaround for adding CC/BCC to monday.com button-triggered emails given the native automation lacks this feature?
The standard monday.com Gmail/Outlook email action that buttons use has no CC or BCC fields (monday service’s workflow Send new email block does, on Pro and above), forcing teams to use separate integrations or manual processes. Third-party tools like Zapier can capture the button click via webhook and route emails through services like Gmail or Outlook that allow CC/BCC. BoardBridge sends button-triggered emails with CC and BCC.
Do I need separate automations for a button workflow that should send an email, move an item, and notify a team in monday.com?
Usually not: a button runs one custom automation, and it can include several actions. Separate recipes chained through intermediary status or date columns are only needed for steps one automation can’t include, and every action still counts toward your monthly automation actions quota. BoardBridge emails don’t use monday.com automation actions, but BoardBridge uses the monday.com API, so its calls count toward the daily API limit (200 on Free, 1,000 on Basic and Standard; 10,000 on Pro; 25,000 on Enterprise).
Can I disable a monday.com button after one click to prevent duplicate emails in my automation workflow?
monday.com does not natively support disabling buttons after a single click, but you can use a tracking column (e.g., Numbers or Status) checked via Make.com on button trigger to block repeats. The external automation updates the column post-execution to indicate ‘clicked,’ ensuring one-time runs.
Is there a way to automate ‘when button not clicked’ notifications weekly in monday.com without custom recipes?
monday.com buttons only trigger on ‘clicked,’ lacking a native ‘not clicked’ condition, so use a Date column set by the button and automate notifications when the date passes (e.g., weekly Friday alerts). This proxies button state without direct support.
